Downtime costs more than the repair

A domestic fridge failing is an inconvenience. A walk-in failing is inventory loss, a health-code problem, and potentially a closed kitchen. That changes the calculus: on commercial equipment, preventive work is almost always cheaper than the emergency it avoids.

What we see fail

Condenser coils

Kitchen air carries grease. It lands on condenser coils and traps dust into a mat that no amount of running will clear. The unit loses its ability to reject heat, runs continuously, and the compressor eventually pays for it. This is the single most common cause of commercial refrigeration failure and the easiest to prevent.

Door gaskets

Commercial doors open hundreds of times a day. Gaskets compress, tear and stop sealing far faster than domestic ones. A failing gasket on a walk-in runs the compressor continuously and ices the evaporator.

Defrost system

Walk-ins and freezers depend on scheduled defrost. When the timer, heater or termination thermostat fails, ice builds on the evaporator until airflow stops. Temperature climbs while the unit appears to be running normally.

Refrigerant leaks

Vibration and age open joints. A unit low on refrigerant runs constantly and never reaches temperature. Topping it up without finding the leak is not a repair β€” it is a delay.

What reduces failures

  • Clean condenser coils quarterly. Monthly in a heavy kitchen.
  • Check gaskets monthly. The paper test works here too.
  • Log temperatures daily. A unit drifting up over a week is a warning; a unit that fails overnight rarely did so overnight.
  • Keep airflow clear. Stock stacked against the evaporator blocks the air the unit depends on.

What to have ready when you call

Equipment type, make and model, what the temperature is reading against what it is set to, whether the compressor is running, and whether there is visible ice on the evaporator. That gets the right technician with the right parts on the first visit.

A maintenance schedule that actually gets followed

The best schedule is the one a busy kitchen will keep. This one fits into closing routines.

Daily

  • Record temperatures for every unit, at the same time each day
  • Check doors close and latch fully
  • Clear anything stacked against an evaporator

Monthly

  • Inspect gaskets for tears, hardening and gaps β€” the paper test works here
  • Check drain lines are clear and draining
  • Look at the evaporator for ice build-up

Quarterly

  • Clean condenser coils properly β€” monthly in a heavy grease environment
  • Check fan motors and blades
  • Verify defrost is cycling as it should

The temperature log is the most valuable item on this list and the one most often skipped. A unit drifting from 36Β°F to 39Β°F over ten days is a repairable fault caught early. The same unit found at 50Β°F on a Monday morning is a full inventory loss.

Reading the symptom

Running constantly, holding temperature

Restricted heat rejection: dirty condenser, failing condenser fan, or poor clearance. Fix it now, because it is the state immediately before a compressor failure.

Running constantly, not holding temperature

Low refrigerant charge, a failing compressor, or a heavily iced evaporator. Needs a technician promptly.

Icing on the evaporator

Defrost fault, a door not sealing, or too much warm humid air entering. Common on walk-ins with heavy traffic.

Water on the floor

Blocked condensate drain, or a defrost cycle producing more meltwater than the drain can carry. Both are a slip hazard before they are an equipment problem.

Short cycling

Starting and stopping rapidly. Hard on the compressor and usually a control, pressure switch or charge issue.

Planning around failure

Commercial refrigeration fails eventually, whatever you do. What separates an inconvenience from a closed kitchen is having decided in advance:

  • Where product goes if a walk-in fails β€” an agreement with a nearby business is worth having before you need it
  • Who to call, with the number somewhere other than one person's phone
  • Model and serial numbers recorded, so parts can be identified without a site visit
  • Which unit is most critical, so triage is not decided under pressure

Common questions

How often do condenser coils really need cleaning?

Quarterly in a light environment. Monthly in a kitchen with fryers, because airborne grease turns coil dust into a mat that airflow cannot shift.

Can we top up refrigerant and carry on?

Only as a stopgap. Refrigerant does not get used up β€” if it is low, it leaked, and it will leak again. The leak has to be found.

Is it worth repairing an older walk-in condensing unit?

Frequently yes. Commercial equipment is built to be serviced, and component replacement is routine in a way it is not on domestic units.

Do you work outside business hours?
